What to do: What exactly needs to be done? Pack Inventory to Sell at Con Who does it? The inventory is packed by the in-house Kitchen Crew to be sent out, then it is recieved by the Catering Crew at the event. How to do it: Success means: Inventory for the event is packed into the freight box/luggage for the convention The ConPackTool Sheet should contain a complete count of what was (and wasn't) packed for the event The Event Location in Shopify needs to reflect the counts that was entered into the ConPackTool Sheet What you need: What tools, access, or prior steps are needed? Correct Inventory Counts help us know when to plan to reorder items that are running low on stock, and correct inventory counts give the catering team the ability to know what they have on hand easily based on the POS itself. This helps us serve customers better by having what they want in stock. When/How Often Should this Happen? Convention inventory should be packed one week in advance. Packing inventory should take no longer than one day for one event. Additional Notes (optional but helpful) When we prep for a convention, we need to separate convention stock from the pick stock for two reasons: Provides accurate inventory for packing/staff reference: This helps us make sure everything is accounted for during the event. Provides an accurate inventory for customers browsing the event online: There is a shopping page being promoted at the event, and items won't appear if they haven't been added to a convention stock location Prevent double purchase of items not available: If we take the last stock item to a convention, but someone purchases it online, we delay that shipment AND risk accidentally selling it. Step-By-Step Instructions: When conventions are unpacked correctly, it will make con packing much easier. If you are UNPACKING, instead of repacking, reference the Con Unpacking article for instructions about how to restock items after the con. Check What's Available - Check the 'Con Stock - All Items' list to see what we have and do not have: Under Products > Inventory, open the 'Con Stock - All Items' Inventory List This list contains every item that should be stocked IF IT IS AVAILABLE. Some items in this list may not be available, so we will check this list first for better housekeeping. If you are asked to add an item to the con stock, then that means it should appear on this list. If it does not, then edit the item to ensure that 1) It is active on the "Point of Sale" sales channel and 2) it has the con-stock tag applied to it Check each unique item listed to see if the inventory count is approximately correct or not. Update the inventory quantity by counting the items if the count is very clearly incorrect. For example, if the inventory says we should have 100 of an item, but you find a box with 4 items in it, this is a clear discrepancy e need to fix this count before proceeding to packing. In reverse, if inventory says we have zero of an item, but there is 50 in the box, this likely means this item wasn't properly recieved. Check if there is a pending purchase order that needs to be recieved by reviewing the How to Recieve Inventory article. Items in ziploc bags -should- be pre-packed convention stock, but at the time of this writing this requires some housekeeping to make sure numbers are correct. After updating incorrect quantities, open the 'Con Stock - In Stock' list. This opens a new inventory list that hides all items with 0 or less stock for an easier packing experience. In another tab, open a Transfer: All inventory should always move between locations evenly. Under Products > Transfers, tap 'Create Transfer' Put the two windows side by side for easier reference, like shown. Work down the Inventory list from top to bottom. Open each unique item (skip collectors grade items) and scroll down to view their inventory counts. First, check that there are no items that are listed as 'Commited'. Committed means that someone has purchased the item, but it has not been delivered to them yet. If there is a number here, you can tap it to view a list of orders containing this item. Next, check that there are no negative inventory quantities.If found, write these items down as you go, zero them out, and provide the list to Tina after you are done. Next, check for existing Con StockExisting Con Stock will be prebagged, and should contain an Inventory slip that shows the quantity of items, the Con Stock (A or B) , and the quantity on the slip should match the number listed in Shopify. (NOTE: Expect this statement to be the goal we are working to achieve, not 100% accurate to what you will actually find)Screenshot below shows a convention. This name should match the convention you are working on. If there is no match, inform Tina. Next, refill the Con Stock, if nessecary, to the following stock levels:If the con stock is less than what is displayed below AND there is enough inventory to allow it, transfer the stock from Pick Stock to the Con Stock.Bag items in zip loc backs. Nestle pins together, this helps them avoid being scratched. Make sure pins all face the same direction, also to avoid scratching. As you pick items, add a (convention)-packed tag, but with the name of the specific convention you are packing for. i.e. anthrocon-packed, awa-packed, blfc-packed, etc. Do this as you go (not all at once at the end) and you will be able to create a clear list of what is complete and what isn't using the inventory or product list page by filtering by this tag.
