TASK: Add New Orders to Picking Queue & Update Guests Goal for this Task: All Guests recieve some form of order update notification (from order tags) within one business day. New shippable orders recieved since the last check are printed out and added to the picking queue New orders containing both shippable & preordered (Meal Tickets/Preorders/Memberships) items are split up; In-stock items are added to the picking queue. Preordered items are clearly marked as unfulfilled and 'On Hold' so that someone knows we did not ship those physical items this week. It is clear which items we need to ship later when they arrive. Primary responsibility is Kitchen Team (On Site In Office), Kitchen Team can request support from Wait Staff as needed (Kitchen Staff is still responsible for printing shipments to go into pick queue as Wait Staff cannot print remotely) When should this task be completed? At the start of each week & daily at the Start of Each Day What resources are required for this task? REQUIRED Access to Shopify for order review & editing REQUIRED Access to physical inventory for adding orders to picking queue (This task cannot be performed remotely) How do we perform this task? Use order tagging & filtering in order to create small, easily digestible batches of orders. For a daily check, simply create a filter to view orders by date. You can apply multiple filters for an even more laser focused view. Some common order filtering setups are included below.Tag orders with the current date to mark that you've worked on these and filter this tag to hide orders from your current list.When creating a filtered view, save a bookmark for easier reference. Make sure you rename your bookmark with a clear name and delete old bookmarks when you've completed the list so that the bookmark bar remains uncluttered and easy to navigate. Detailed Instructions 1: View open orders recieved recently Go to Orders, apply filters to see new orders.Here's how to apply a filter on the Orders page:Here's how to view only 'Open' orders. This hides all orders that are already completed. Here's how to refine your filter by date: NOTE: Always overlap the last checked day in case orders came in after orders were checked on that day. For example., if you are checking on Tuesday, and you know orders were last checked on Thursday, then start your filter on Thursday. 2. Print in-stock orders, tag them as ready-to-ship & add them to picking queue Review the orders to see if items are in stock.Here's how to review items from the order list to see what's in the order without having to open each order up:If all items in the order can be shipped, you can use checkbox to print & update multiple orders at once, shown below.Here is an example of a list of orders where some of the orders could be shipped, but not all of them. The in-stock orders have been checked, and can be printed/tagged from the three dots menu. The last order requires further attention, and is left unchecked for now. Tag orders with ready-to-ship only after packing slips are printed.Take all printed packing slips and place them in the picking queue. Next, look for orders with both in-stock and preorder items. 3. Locate orders containing both in-stock items & preorders, split into separate fulfillments, add ready-to-ship tag and add them to picking queue. Goal: We need to ship what we have now, and we also need to know which items need to be shipped later. Meal Tickets are used as acknowledgements of the preorder only, they should not be marked as fulfilled items. All products containing the 'preorder' tag that are not in stock will be sent 'Meal Tickets' to confirm their preorder and educate the customer on how they will recieve updates. When you encounter a preorder item, tap the three dots in the top right corner to split the fulfillment and mark the preordered item(s) as on hold.Here's an example of a correctly split up order. The preorder item is on hold, and the in-stock items were shipped. 5. Locate orders containing only preorder items, ship meal tickets only & mark them as 'on hold'. Goal: We need to ship this order later, but we need to ship an acknowledgement to the customer. First, place the order on hold. Next, print a cover letter for the meal tickets. No packing slip is nessecary.Update this Cover Letter Template - Link to this template is on the dashboard. PLACE STANDARD OFFICE PAPER INTO THE CANON PRO 100 PRINTER. Tap the "Print" icon, and scroll down to "Print using System Dialog"Tap "More Settings"Select "Paper Saving"Select "Duplex Printing" - This will set the printer to print on both sides of the paper.Select "Fast" - this will make the print come out faster.Follow the on screen prompts. Fold the Cover letter on the lines, and insert the meal tickets into the folded letter. Place the letter into a windowed envelope, and stamp it. Add "Meal Tickets Sent on MM/DD/YYYY by YOUR NAME" into the order notes Lather, rinse and repeat until all new orders have been reviewed.Add today's date tag to all of the orders you edited today in an YYYY-MM-DD format. All done!
