How to send Weekly Birthday Cards

Resources: STEP 1: EXPORT LATEST CUSTOMER DATA STEP 2: IMPORT DATA & USE BIRTHDAY WORKSHEET (You will need to login to Google!) STEP 3: IMPORT CARDS COMPLETED BACK INTO SHOPIFY STEP 4:SUBMIT PHOTOS OF CARDS COMPLETED (You will need to login to Google!) Supplies you will Need: Birthday Cards with prewritten birthday message Birthday Cards blank inside (For Tasting Room Members) Sushi Tomodachi Logo Stickers Variety of random stickers (1 per person) Togo Menus Tasting Room Menus Stamps (Domestic and international) Kraft paper envelopes Return Address Labels (preprinted) Dark colored pen or marker Strawberry Shortcake Pins (Reminder: You will not ship these. You do not need to address or stamp the envelope, only need to write their Prefferred/First name on the envelope and place it in their Maki Mail folder) Detailed Instructions: Birthday Cards are MISSION CRITICAL to our process. Customers are expecting them. NOTICE: Failure to provide proof of completion will be considered failure to complete the work, and incomplete work cannot be paid. Core Steps: Export Latest Customer Data and Update the Birthday Cards to Send sheet Do Tasting Room Members Birthday Gifts First, put them in Maki Mail folders Do Birthday Cards for everyone else next, address and & stamp them all Import Completed Cards back into Shopify and apply tags to confirm they were sent Take Proof of Completion Photos and send them in the #announcements channel in Discord 1. Export Customers using the 'Customers Who Signed up for Birthday Cards' Segment EXPORT BIRTHDAY DATA Download Customer Data Open the Customers who signed up for Birthday Cards Segment Click 'More Actions' from the top right, then choose 'Export' and use settings: Customers Selected: [quantity] Customers Matching your Filters Fields Included: ☑ Customer Tags☑ Customer Metafields File Format: CSV for Excel, Numbers, or other spreadsheet programs Follow instructions to download csv from email Label the export email with your 'Complete' label to indicate successful download and archive to keep inbox tidy VIEW BIRTHDAY WORKSHEET (You will need to login to Google!) Open the Birthday Cards to Send Google Sheet Reset the Bday Worksheet tab by removing all checkmarks for last week's completed items.Select the column containing the checkboxes and tap the spacebar to clear all. Import Customer Data into the 'IMPORT IN' tab Select the 'IMPORT IN' tab, then go to "File > Import" and select the downloaded file. Import Location: Replace Current Sheet Separator Type: Detect Automatically 2. Do Tasting Room Members Birthday Gifts First, put them in Maki Mail folders Note: You are expected to verify customer accuracy as you go as part of your check. If you discover that a profile is wrong, has weird info, or wasn't updated, then update the profile before preparing that person's card. Review the 'WORKSHEET' tab look for Guests flagged as Tasting Room Members Write their Preffered/First name on the envelope. Doodle on the envelopes & card make it fun. Handwrite a happy birthday message inside the card "Hey (name)! Happy birthday from the Sushi Tomodachi Sushi Bar. Hope your day is full of joy, laughter, and hopefully, lots of sushi! <3" Apply a Strawberry Shortcake pin inside the card & add the Strawberry Shortcake to a pending order Add a Straw-Bear-y Shortcake to their order Discount the item so it is free. Add the 'birthday-order' tag to the order. Do not notify the customer - Keep it a surprise! Insert the card and pack ins in the envelope: Logo Sticker Freebie Sticker To Go Menu Tasting Room Menu 3. Do Birthday Cards for everyone else next, address and & stamp them all In order of due date, prepare envelopes and cards for each. Watch for any address errors. Update profiles as address errors are found. Each card should include: Card with preferred/first name written in it Logo Sticker Freebie Sticker Togo Menu Monthly Tasting Room Menu Check the box only after the card has been completed, sealed and stamped. 4. Import Completed Cards back into Shopify and apply tags to confirm they were sent Switch to the EXPORT OUT tab. Export the list of completed cards as a CSV. Import Customers to Shopify Navigate to the Customers page in Shopify and tap 'Import'. Upload the downloaded CSV file. Check the box marked "Overwrite existing customers that have the same email or phone" Check the box marked "Add tags to customers in this CSV"... And add the following tags: cardYYYY-bday (tags cards completed this year) NOTE: "CARD", NOT "CARDS" birthdaycards-YYYY-MM-DD (tags cards send today) birthdaycards-YYYY-yourname (tags cards you sent) 5. Submit proof of completion Send the "pretty" photo of the cards to the #announcements channel on Discord with an excited caption. Include an emoji or two! i.e. (We just sent out a HUGE batch of cards today!! 😍 Submit your proof here: SUBMIT WORK COMPLETED
