One of the best ways we all stay fast, efficient, and smiling is by building a shared knowledge base of clear task instructions. This helps everyone—new hires, seasoned teammates, and even you on a busy day—know exactly what to do without guessing or asking the same questions repeatedly. Everyone is encouraged to participate! If you notice a task that doesn’t have a written instruction yet, or an existing one could be clearer, please add to or improve it! Contributing makes everything run smoother for all of us (including you!), reduces mistakes, and helps us keep service fast and stress-free. No contribution is too small—your real-world experience is exactly what makes these instructions valuable. When writing or updating a task instruction (e.g., “How to Restock Samples” or “How to Open a Second Register”), use this SMART template to keep it clear, concise, and easy to follow—even for someone on their very first day. -------------------------------------------------------------------------------------- TEMPLATE WITH INSTRUCTIONS BELOW, SCROLL DOWN FOR BLANK TEMPLATE TO COPY/PASTE INTO A NEW ARTICLE -------------------------------------------------------------------------------------- Task Title: [Clear, action-oriented title – e.g., “Restock Front Display Samples”] What to do: What exactly needs to be done? Who does it? (e.g., any team member, only opener, etc.) Where does it happen? (e.g., backstage, under table, packing table, pick box, file cabinet, etc.) Example: “Any team member restocks the front display from the backstage reserve bins when the display pegboard has 1 or less products remaining.” When to do it: How do we know it’s done correctly or when it’s time to do it? Include visible triggers or success signs. Example: “Success = front tray always has 3 products on the peg; trigger = count drops to 1 or less” What you need: What tools, access, or prior steps are needed? (Assume zero company knowledge.) Keep it realistic for a new person on day one, whether on-site or remote. Example (In-Booth): “Tools needed: key to backstage cabinet (hanging on hook by register). No Shopify access required.” Example (Remote): “Tools needed: laptop, internet, Shopify login (provided during onboarding), and access to shared Google Drive folder. Use the ‘VIP Processing’ bookmark in the company browser profile.” How does this make life easier for you, your teammates AND our customers? Why does this task matter? (Tie it back to our core principles.) How does it make life easier for customers, teammates, or you? Example: “This supports Fast Service by preventing delays when customers ask for samples, and keeps the booth looking inviting so customers want to come back for seconds.” When/How Often Should this Happen? When or how often should it happen? Use event triggers if timing varies (common at tradeshows). Example: “Do immediately when you notice count below 10, or check every hour during peak traffic. Takes about 2 minutes.” Additional Notes (optional but helpful) Common mistakes to avoid Quick tips from experience Who to ask if stuck TASK: RECEIVE INVENTORY Assigned To: Completion Deadline: Default Deadline: End of Day on Day Assigned Estimated Time to Complete: 30-60 min Actual Date/Time Completed: Task Ingredients Count Inventory: Verify inventory count matches order Remove Poor Quality/Damaged Items Recieve Inventory using the Purchase Order In Shopify Separate and Update Mystery Box Inventory Pins: 30% of remaining stock AFTER committed items are removed Stickers: 10% of remaining stock AFTER committed items are removed Separate and Update Collector's Grade Inventory, if any found.
