We use shared Google Calendars for workload management by adding the following items to the calendars: Dedicated Work 'Appointments' Deadlines and Due Dates Dedicated Work 'Appointments' A work appointment event is time being scheduled to work on a task, with completion being expected by the end of the appointment time or earlier. The event must contain all of the following information: Start and end time (No tasks should be listed as 'All Day') Invitees must include the manager who will review the work, and assignee who will perform the work. Event Description should include: Clear description of the work/task to be completed, including direct links to all documentation or walkthrough-forms. Clear explanation of the purpose of the task Clear Yes/No Completion and hand off criteria Work Appointments that are ongoing, such as weekly tasks, should include review of next week's work appointment to ensure the work is assigned on the schedule. Work Appointments that are one-off tasks should ensure that the hand off criteria includes reviewing that this task was completed. i.e. Update the Tuesday Team Meeting event to let Tina know this work was completed. Deadlines and Due Dates When scheduling a Deadline, make the deadline a review meeting. A second person should always be assigned to confirm the completion of the work.There is a weekly, global deadline for all ongoing work to be completed by 5PM Pacific Time on Mondays, so that it can be reviewed at the Tuesday Team Meeting. This is not considered a replacement deadline - Deadlines should be used to ensure workload management. Departments Each department has it's own dedicated calendar. These calendars are: Art Dept Calendar - Used internally for documenting artwork tasks and deadlines. Con Team Calendar - Used internally, in tandem with the Events calendar for convention travel and work itineraries, as well as deadlines for event applications, payments and more. Customer Service Calendar - Used internally for documenting weekly CS tasks & customer followups Events Calendar - This is a PUBLIC FACING calendar, used in tandem with the Con Team Calendar. This shows the public what shows we're attending, allows them to RSVP and gives them event details for finding us. Marketing Dept Calendar - Used internally for planning out marketing campaigns such as launches and announcements Ordering Dept Calendar - Used internally for planning order timeframes so that they meet our budget. Shipping Dept Calendar - Used internally for shipping department tasks and deadlines Tasting Room Calendar - This is a PUBLIC FACING calendar that tells Tasting Room Member's what we're doing. It includes events as well as deadlines. NOTE: These calendars may or may not be automatically available to you for editing when signed in at calendar.google.com.
